Terms and Conditions for Aden Fitness and Wellbeing for Women Ltd

  • 1. Membership Agreement

    Whether signing up for a membership or paying as you go, clients agree to the following terms and conditions. These terms apply to all gym attenders, including gift memberships and trial memberships. Aden Fitness and Wellbeing for Women (AFW) has the right to terminate memberships and access to booking if any of the following terms are breached.

  • 2. Membership Fees and Payments

    Membership fees are due monthly on the specified date or on booking a class if you pay as you go. Monthly memberships are for a minimum three-month period unless on a prize or trial. Memberships can be cancelled with one month’s notice at any point after the initial three months. If payment fails on the specified date, a further two attempts will be made in the subsequent days. If payment is still outstanding by the fourth day, the user account will be suspended until rectified. AFW reserves the right to change the membership and class fees with advance notice to members.

  • 3. Age and Eligibility

    Membership and classes are open to women and girls aged 14 upwards. AFW was established to primarily focus on providing a service for biological women however, we recognise that other individuals who identify as women, may also benefit from the services provided and as such, we are happy to be inclusive where appropriate. We appreciate your understanding and support in fostering a welcoming space, however, there may be particular sessions and/or wellbeing events where we may need to be exclusive and restrict attendance based on biological sex or age. If you have any questions about our policy, please feel free to discuss these with the management team.

  • 4. Gym Conduct and Behaviour

    Clients of AFW are expected to maintain a respectful attitude towards all staff and other members of the gym. Inappropriate behaviour, substance misuse, harassment, or violence will result in immediate termination of membership. Any incidents of this nature should be reported to a member of staff immediately.

    Smoking and e-cigarettes are strictly prohibited in all areas of the gym. Clients and visitors are not permitted to bring pets (other than guide dogs) into the gym.

  • 5. Use of Equipment

    Clients are required to clean up after themselves, including wiping down equipment and replacing weights after use. All equipment, staff and fellow users must be treated with due care and respect. Members may use the studio in addition to the gym floor when classes are not taking place, however, please ensure that all equipment is put back after use.

  • 6. Health and Safety

    AFW and associated instructors shall not be held liable for any injury, accident, loss or damage that may occur on the premises, except in cases of gross negligence or wilful misconduct. Clients should follow the guidelines set by AFW within these terms and conditions and by following instructions set out at the gym and by the instructors. Appropriate footwear and clothing must always be worn whilst in the gym. Please use the changing areas provided for your personal belongings, clothing, sports bags, and other personal items are not permitted in the class activity areas. If you are concerned about security, please discuss this with a member of staff and we can address this accordingly. Any lost property found on the premises should be handed in to the staff member on duty and will be kept for one month. For hygiene purposes, no underwear, hairbrushes, shampoos, soaps, deodorants, or similar products will be kept in lost property; they will be disposed of immediately.

    Within the gym, there is a communal changing area and two single spaces available, one with a shower. Clients are free to make use of whichever areas they prefer, although we do ask that if you require the private changing space only, you use the area without the shower if free, in order to allow access to members who require use of the shower. All clients, whether attending a class or the open gym, are required to read the health screening questionnaire on the final page prior to their first attendance. If the answer is ‘yes’ to any of the questions, please inform your class instructor or staff member. Furthermore, if there are any relevant changes with regards to client health status at any time after agreeing to the terms and conditions, it is their responsibility to update AFW staff.

    Clients are advised not to undertake strenuous physical activity for which they may be medically unfit. Individuals who have any reservations as to their physical condition are advised to have a medical check-up before embarking on any exercise. We would advise all open gym attendees to contact the gym to arrange a free induction prior to their first session. In addition, to promote safe exercise, please ask for assistance from the staff team before performing unfamiliar exercises and/or using unfamiliar equipment. Any client who has an accident on the gym premises must report the accident, and the circumstances under which it occurred, to a member of staff immediately following the incident.

  • 7. Personal Training and Classes

    Personal training can be arranged directly with individual trainers or via the gym management. All individual and small group training is undertaken by qualified personal trainers. They are governed by the CIMSPA code of conduct and are appropriately insured.

    All class instructors are appropriately qualified for the class they facilitate. Classes can be booked seven days in advance, through our online booking system. We ask that clients arrive on time for classes to avoid disruption to other members.

    If you are unable to attend a pre-booked class, please cancel your booking through our online booking system as soon as possible. We require a minimum of two hours’ notice to avoid being charged for the class. Repeated failure to attend or short-notice cancellations for a pre-booked class may result in booking privileges being removed. This is to ensure fair access for other members.

    On rare occasions, it may be necessary to change a class or instructor or even cancel a class at short notice. Should this occur, we will endeavour to provide as much notice as possible. You will not be charged for classes cancelled by AFW.

  • 8. Social Media Policy

    This policy applies to all social media platforms including but not limited to; Facebook, Instagram, X (formerly Twitter), TikTok. Client privacy is a priority, therefore posts containing videos or photographs of clients should not be used by AFW or other clients without permission.

    Clients are encouraged to tag the gym in posts but must respect the privacy of others. Confidential and/or personal information about the gym, clients or staff members must not be shared.

    Our gym and wellbeing service promotes a supportive environment therefore, posts and comments should be respectful. Discriminatory, offensive and/or body shaming content will not be tolerated.

  • 9. Privacy and Data Protection

    AFW are committed to protecting the privacy and personal data of our clients. We may collect relevant data such as personal information, membership information, health and fitness data and website and app data to inform, monitor and improve our service. All personal data is securely stored, and access is restricted to authorised staff members only. We do not sell personal data and only retain data regarding clients whilst they are attending the facility. Data will be securely deleted in line with legal requirements.

  • 10. Liability Waiver

    Clients acknowledge that the AFW’s obligations and liabilities are defined in these terms and conditions and that each client is responsible for the consequences of any use of the facilities. AFW will not be liable for any indirect or consequential loss, damage, costs, expenses, theft or damage to property, whether arising under contract, or otherwise.

  • 11. Modifications to Terms

    AFW reserve the right to amend the terms and conditions at any point and without notice a copy will be accessible via the website at all times. If you have any questions or complaints, please speak to a member of the management team directly or email: admin@adenfitnessandwellbeing.co.uk.

Appendix 1 – PARQ (Physical Activity Readiness Questionnaire)

If the answer to any of the below questions is ‘yes’, please speak directly with your class instructor or staff member. It is also advised that clients answering ‘yes’ to any of the below questions consult with their doctor before increasing or changing physical activity levels.

  • 1. Has your doctor ever said that you have a heart condition and that you should only do physical activity recommended by a doctor?
  • 2. Do you feel pain in your chest when you do physical activity?
  • 3. In the past month, have you had chest pain when you were not doing physical activity?
  • 4. Do you lose your balance because of dizziness or do you ever lose consciousness?
  • 5. Do you have a bone or joint problem that could be worsened by a change in your physical activity?
  • 6. Is your doctor currently prescribing drugs for your blood pressure or heart condition?
  • 7. Do you know of any other reason why you should not do physical activity?
